How to use Service Charge and Gratuities in PMS

By the end of this guide you will:


  • Know the difference between service charge and gratuities within Hart
  • Be able to configure both within the PMS
  • Be able to update how service charge is displayed on a residential guest's bill


The difference between service charge and gratuities


Service charge: an charge applied to the total value of a guest bill typically at a set percentage of the total bill however Hart can also support fixed amount service charges as well as charges based on the number of covers.  This charge can be set to be made automatically or manually


Gratuity: An entirely discretionary amount given by a guest


Service Charge can also be shown on a residents bill in different ways.


Go to Configuration > Outlets


Now use Bill Layout to amend how the services charge is displayed on the Residents Guest Bill.



By Order: The total bill will be posted as a single line within the room bill

By Item: Each item will be listed separately

By Service Charge: Each item will be listed separately with service charge as a single line.  Where multiple checks exists those with a common service charge will be grouped per day 

By Revenue Code: Items are groups by revenue code


Where service charge is applied within different areas of the property (e.g F&B, Spa, Golf) then it is also possible to amend the display of service charge on a resident guest's bill via Configuration > Access > Folios:



Sales: This is the standard setting and items within a bill are displayed in natural chronological order


Sales by Service Charge: Where items posted to a bill on the same day have a common service charge revenue code then these will be grouped together at the end of each day.
