How to Setup and use SMS Reminders

Please Note: In order for SMS reminders to work, a HART Agent must have setup the SMS interfacing and account. If this has not yet been done, or you are not sure, please contact HART by submitting a ticket.


How to setup SMS templates

  1. Go to Configuration > Global > Templates
  2. Right click to add new entry
  3. You may enter what you wish for the Name, this is just the name of the template.
    Leave Document blank.
    Select "SMS (Text) Message" for Type.
    We recommend choosing "Numbers Only" for the date in SMS messaging.
  4. In the SMS settings (bottom right of the same window), you can choose from whom the SMS will appear to come from. This can be anything but it will display to customers so it is a good idea to go with something they will recognise.
  5. In the box below the "From" field, is where you will enter the text that is sent. 
  6. The following is a standard template for a Spa booking to get you started:
    Just a friendly reminder that you have an appointment booked on $$Date$$ at $$T1$$ $$(and) T2$$ $$(and) T3$$ $$(and) T4$$. To cancel or amend your appointment please call on <INSERT NUMBER HERE>.

    "$$T#$$" are tags that represent treatments, if someone has booked multiple treatments (in this case, up to four) it will show these in the text. If they have only selected one, only the first tag will be replaced and the rest are removed.

    The following is a base template for a restaurant reservation:
    Just a friendly reminder that you have a reservation at <RESTAURANT NAME> on $$Date$$ at $$Time$$ for $$Covers$$ People. To cancel or amend your reservation please call on <INSERT NUMBER HERE>

How to use SMS reminders

  1. Go into Reservations > Facility Booking and select the facility you want to send reminders for.
  2. Select the date (calendar, top left) that contains the bookings you want to send reminders for.
  3. In the top menu, go to Diary > Tools > Text Messaging
  4. Upon first usage you will have to select a template to use for the Text messaging. This will pop up automatically.
  5. After this, you have to go Diary > Tools > Text Messaging again. This will bring up a new window, which displays all customers that have a booking in the date range.
  6. In this window you can select/deselect any customers to which you do or do not wish to send an SMS reminder. A good example here is if the customer does not have a mobile number on their profile.
  7. Now, click Send in the bottom left and your SMS reminders will be sent out.
