How to setup the Webhotelier link

In order for you to be able to manage your property’s rates and availability as they appear inside the Webhotelier website directly from HART PMS, you will first have to setup their connector, by following the steps indicated below.
STEP ONE
  1. Go to Configuration > Access > Interfaces tab.
  2. At the top left section of the window, right click and "Add Entry" to add the following:
    • Interface: Enter "Webhotelier".
    • Type: Select 'Distribution'.
  3. In the bottom left section of the window, right click and "Add Entry" to add the following:
    FieldValue
    Username:Provided by Webhotelier
    password:Provided by Webhotelier
    hotelcode:Name of your property as it appears in HART PMS
    AvailabilityURL:the link to Webhotelier's availability page (https://rest.reserve-online.net/manage/availability)
    Ratesurl:the link to Webhotelier's rates page (https://rest.reserve-online.net/manage/rates)
    Reservationurl:the link to Webhotelier's reservation page (https://rest.reserve-online.net/manage/reservation/)

  4. After entering all the above information, click Save.

STEP TWO
  1. Go to Configuration > Reservations > Distribution tab.
  2. In the bottom section of the window, if there is information showing, see below. Otherwise; click Start to display the distribution information.
    • Code: WHT
    • Distribution Channel: Webhotelier
    • Profile: Select "Email" from the dropdown menu.

    • The following fields are not compulsory.
    • Source: Select the default source of the Webhotelier reservations from the drop down menu.
    • Segment: Select the default segment of the Webhotelier reservations from the drop down menu
    • How Heard: Select the default how heard of the Webhotelier reservations from the dropdown menu
  3. After you have entered the necessary information, click Save in the tool bar. You can also press F3.

STEP THREE
  1. Go to Configuration > Housekeeping > Types tab.
  2. You can see all of the property’s room types in the middle section of the window. Select a room type, then in the bottom right section, right click and "Add Entry". Here you will find the following:
    • Channel: Select "Webhotelier" from the dropdown.
    • Code: Enter the room code as it appears on Webhotelier.
  3. Once you have done this for all required rooms, click Save in the toolbar or via F3.

STEP FOUR
  • Go to Sales Office > Rate Plans
  • Select the rate plans you wish to link to Webhotelier and then navigate to the Channels tab
  • Right click and "Add Entry", then select "Webhotelier" from the dropdown menu, titled "Channel".
  • Now Save via the toolbar or by pressing F3

STEP FIVE
  1. Go to Configuration > Access > Extra Map tab.
  2. Press the Refresh button in the bottom left section of the window. This will retrieve all Rate plans that have been previously linked to Webhotelier (see Step Four). The Refresh button must be pressed every time you create a new Rate plan for Webhotelier within HART PMS, otherwise the connection will not succeed.
  3. You will need to enter the following information:
    • Rate Plan: The name of the rate plan linked to Webhotelier.
    • Room Type: The room types linked to this rate plan.
    • Webhotelier RateID: Enter the RateID found on Webhotelier for the specific room type. (See below on where to get the Webhotelier RateID).
  4. Once finished, press Save via the toolbar or F3

Webhotelier Rates

Please follow the below steps in order to find the Webhotelier Rate ID for each room type on the Webhotelier website:
  1. Log into Webhotelier
  2. Go to the "Rooms" tab and select the room type, one at a time.
  3. Inside the new tab that opens, select "Pricing Plan" and note the rate ID that is listed next to each room rate.
    It should be a six digit number, this is the number you must enter into HART as the Webhotelier RateID (Step five).
  4. Next, you need to Raise a Ticket to the HART team to inform them to start the required Sync & Poll Services.
  5. Once the HART support team has confirmed that they have started the services, you must do a full data push to Webhotelier.
    • Go to Sales Office > Room Yield.
    • Select the dates then press Synchronize.
