If you are creating cross-sells that are linking with facilities in HART PMS you need to have configured the facilities in the HART WBE first.
Create a Cross-sell item
Create the item that you wish to start selling on the WBE if you haven't already done so by navigating to Configuration> services and choosing the section that you are wishing to add the cross-sell to. For this example, we will be adding a Dinner Reservation. Right-click and add an entry to add your cross-sell in the Service field and fill in all the relevant details.
NOTE: if the cross-sell item is to be for treatment then the cross-sell you set up needs to be a header. The system then allows you to configure the treatments at a later stage. |
- Service: free type the service name
- Revenue: choose the revenue stream you need the service to go to from the drop-down box
- Dynamic Package: Tick this to sync as a cross sell
- Publish: tick here to ensure this is synced to the WBE
- Price: free type a price if applicable
- Level: this is for use with the Spa treatments diary
- Short: this field will auto-populate when you press save
- Pre-charge: tick here if you wish the service to charge at the close of the day before it is consumed for example; breakfast
- Morning Briefing: tick here if you wish this to be shown on the Morning Briefing report
- ID: this field will auto-populate when you press save
- Group: this is for use with the Spa treatments diary
- P.S Order: free type the order that you wish this to be shown in the Morning Briefing report
Once you have filled in all the details that you need press save.
Log in to the cloud, navigate to Reservations > Rates > Cross-sell and press the refresh button to pull through the cross-sell that you have just added.
- Order: free type the order in which you wish the cross-sell to show online
- Name: this will auto-fill with the service you have published, however, you can overtype this if you wish
- PMS ID: this is the service PMS ID that will auto-populate
- Price: the price will auto-populate depending on what you have added to your service. However, you can free type over this.
Adding a -1 mean that no price will show
Adding 0 means the price is included.
- Max: free type the max number of the cross-sell you can have per booking if using each charge and a price. NB, if you are using inclusive packages you do not need to fill this in.
- Engine: choose the booking engine the cross-sell relates to. Choose from;
- Extras: if the cross-sell is an extra such as a bottle of Champagne
- Tables: if this is a cross-sell that uses the restaurant
- Treatments: if this is a treatment cross-sell that uses the Spa engine
- Tee times: if this is a tee time cross-sell that uses the Golf engine
- Spa days: currently under development
- Spa Day billing: currently under development
- Unit: choose from the drop-down if applicable to a specific unit.
- Charge: choose how you wish this to be charged. Choose from;
- Adult: charge per adult
- Child: charge per child
- Each: charge per service added
- Pet: if this is a pet charge, please note this is a fixed fee not per night charge.
- Room: charge per room
- A: tick here to make the service active
- Lead Min/Max: You are able to control when an item is available in relation to the stay date. For example, Flowers may have a 48-hour lead time.
- A: Tick to set an extra live
- C: Tick if this extra should be charged at the time of booking.
NOTE: If a cross-sell is not set up correctly this will cause an error on the booking engine |
To add a description
Navigate to the Description tab and free-type the description that you wish to appear on your website. Press the Save Changes button once you are happy.
To add a picture
Navigate to Hotel>Configuration > Pictures and choose from the drop-down boxes, the unit if applicable, choose Extras in the upload field, and choose the extra you wish to add the picture to. Press select file to select the file path of your image and press upload.
Setting availability
Navigate to the availability tab to add to the cross-sell when this is available to book. For this example, we are using Pool Session. Which can be booked during the guest stay up until 23.45 and/or on the departure date up until 11.30 depending on the max number you have set that the guest can book as above.
With the cross-sell highlighted at the top, press the Add new record button.
- When: choosing from the drop-down box choose from:
- Arrival & Departure: meaning the cross-sell will show both availabilities for arrival and departure dates
- Arrival only: meaning the cross-sell will only show on the arrival date
- Departure only: meaning the cross-sell will only show availability on the departure dates
- Inactive: the cross-sell will be inactive between certain from and to dates
- Stay: meaning the cross-sell can be booked throughout the guest stay
- Stay next day: meaning the cross-sell can be booked on the departure date
- From: choose the from time from the drop-down box
- To: choose the to time from the drop-down box
To add exclusions
Navigate to the exclusion tab and press the Add new record button. Choosing from the calendar icon choose the exclusion start and to dates and tick the days of the week you which to exclude. Press the Save changes button
NOTE: if the cross-sell is an extra for example a bottle of Champayne this is now set up. |
To add a cross-sell to a FB outlet
If the cross-sell is a service that needs to drop into your restaurant diary, navigate to the F&B Outlet tab press the Add new record button and choose the restaurant that this relates to from the drop-down box. next choose the service that you wish the cross-sell to drop into. Lastly, tick the use Reservation Paz box if you wish the cross-sell to use the number of adults in the booking. Press the Save changes button.
NOTE: you must have already configured your restaurant facilities in the HART WBE as the restaurant and service that appear in the drop-down boxes are the ones that are configured in the WBE. |
To add a cross-sell that is a treatment
NOTE: you must have already configured your Spa facilities and treatnments in the HART WBE. |
Navigate to the Spa facilities tab, press the Add new record button and choose the Spa facilities from the drop-down.
Next, navigate to the treatment tab and press the Add new record button to fill in the relevant details.
- Order: free type the order you wish the treatment to display in the drop-down box on the website
- Treatments: choose the treatments that you wish to add from the drop-down box
- Arrivals From: choose from the calendar the arrival from date
- To: choose from the calendar the to date
- Day(s): choose from the drop-down the days the treatment is available on
- Supplement: add in here any additional supplement to the price of the cross-sell that the treatments costs
Continue the steps above to add the treatments and once finished Press the Save changes button.
To add a green fee cross-sell
Navigate to the Golf course tab, press the Add new record button and choose the course from the drop-down box. Press the Saves changes button
Included Extras
You are now able to make an extra included in a rate plan, and when this is done it becomes mandatory.
For example, on a Dinner Bed & Breakfast package you would make Dinner included and then the guest would need to book a table to proceed with the booking.
Click on the extra you wish to make inclusive, and then select the Included in Rate Plans tab at the bottom.
Please note: Any extra which is included in a rate plan in this way becomes mandatory at the booking stage. The guest will not be able to proceed past the extras page if they have not made the selection.
Press Add new record to insert an entry.
- Rate Plan: Select from the drop-down which rate plan this extra should be included in.
- Arrivals From/To: If you wish to limit the period this is included, fill in the dates here. If not, leave it blank.
- Price: This is only used if you are doing it at a reduced rate for the inclusive package. ie, A treatment is normally £50, but when booking this rate plan you get it for £25. Leave blank for all other instances.
- Min: The minimum (and max) the guest is able to book. Ie, set to 1 for 1 dinner reservation. Set to 2 if it included two treatments in the rate plan.
- Per Pax: Tick if the minimum entered is per pax rather than per booking.
Save your changes.
This extra will now form a mandatory part of the package.
Creating Options for Your Extras
This feature will allow you to create a single extra card which then has multiple options. For example, you may create one which is called Add a bottle of bubbles to your room, and then the options the guest could choose from would be Champagne, Prosecco, or English Sparkling Wine.
In order for options to work, each option must be created as a standalone cross-sell as per the initial instructions in this guide, as well as a master cross sell. So in the example above you would create 4 services in HART, one for each option and one called Add a bottle of bubbles...
- Create the options as services in HART
- Sync to the Cloud
- Edit the name if needed
- Ensure Engine is Extras (it only works on Extras, not in conjunction with tables or treatments)
- Do NOT set the extra active. Leave it unticked.
- Fill in the Description tab for each extra
Next, select the master extra and navigate to the Options tab.
Add a new record.
- Order: The order you wish the items to appear in the drop-down
- PMS Extra: select your option from the list*
- Name: The name you wish this to appear in the list
- Cost: The 'from' price will be whatever you have as the price in the top part of the screen for the master extra. Here you are able to either put the full price of each option or put a supplement when the supplement box is ticked. For example, the from price above would be £42, and when selecting Prosecco the price will not change. For champagne, £65 will show in the list and also when I select the item. If I set the Cost field for Champagne to £23 and ticked the Supplement box, then the list would show as +£23 next to the champagne.
- Active: tick to set your option as active.
You are now ready to test your extra with options.
