HART allows you to utilise a seperate web booking engine for wedding guests who will be booking rooms into groups of rooms set aside. This article shows you how to set up your engine in the first instance, and create custom groups to send out to the bride and groom for thier guests.
Load up cloud-reservations.net and log into to your account. Please contact support if you don't yet have a log in.
Navigate to Hotel > Pictures > Wedding Background. Click the select files button and upload the image of your choice. This will form the background of the engine.
The url of your engine will be the normal first part of your web url plus /BookEvent added on. For example https://HotelName.cloud-reservations.net/BookEvent
You can navigate to your url and check you are happy with the image you have selected. When you are on the page, you can see that there is a box to fill in which says Event Code. This is where the guests would put thier unique code for the wedding.
Creating the Event Code
To create the unique event code, navigate to the Wedding function booking in question in the PMS and click on the Groups tab where you have your bedroom group set up. You need to tick the Web box, and then input a code into the Code box. You can use any code you wish here, but it is recommended you have a system for the codes so they are easy to identify. For example, the Couples initials followed by the date of the wedding.
Save your changes. Once this is complete, you can go back to the web page an input the code. You will see a page comes up with the name of the wedding, and the rooms available in the group. Once the rooms are sold out, it will tell the guest to contact the hotel to enquire.
Note: You must have your rates set up correctly in the function prior to giving out this code.
