Creating Full & Partial Exclusive Uses

This article looks at how to configure and set a partial or full property exclusive use via a Group or Function




Partial Exclusive Use Configuration


Via Reservations > Exclusive Use the Partial Exclusive Use scenarios can be defined detailing the Room Types and Facilities per scenario.


In the example below, a scenario has been defined in the middle section of the window called Partial Exclusive Use.  To this on the bottom left screen the Room Types have been attached (Medium Room) and the Facility (Book The Dish).




Multiple Partial Exclusive Use scenarios can be defined and each can contain multiple Room Types and/or Facilities




Applying an Exclusive Use


Exclusive Use can be defined from either a Group or a Function.  


From a Function there are two buttons within the Group tab: Exclusive and Exclusive Opt.:




From a Group there are two buttons within the Stays tab: Exclusive and Exclusive Opt.:



Exclusive: This is for Full Exclusive Use and will Block all Room Types and selected Facilities


Exclusive Opt.: This is for Partial Exclusive Use and following the pressing of this the options configured above will be made available



Some important notes:


  • When using Exclusive Use blocks are created for Facilities (e.g. Restaurants) regardless of the Status of the booking.  Therefore if the Restaurant should not be blocked due to the status of the group/function then this will need to be removed manually


  • Blocks for Facilities are created for all days of the group/function with the exception of the last day as typically Exclusive Use will end at the time of check out on the day of departure (typically before lunch service)


  • If a booking is cancelled and re-instated then the rooms will be put back on hold however the blocks on facilities will not.  Where using this tool in conjunction with Groups, the blocks will need to be re-applied manually.  Where using this tool with Functions it's advised to create an event line for the facility booking also.
