Creating a Token
In order to remain PCI compliant card details should never be stored inside any area of HART. Using the Adyen tokenisation facility it's possible to create a link between HART and the card details in a secure and compliant way called a token. Please note that holding a token for a guest card does not imply permission to charge the card and authorisation should be sought from the guest in the usual way.
Using a room reservation as an example, tokens are added via the Deposits tab (either pre or post check-in). Press the Credit Card button and select New MOTO Transaction
In the following screen screen the amount should be left as £0.00 if the card is only to be tokenised or an amount entered to both tokenise and charge the card simultaneously.
Pressing the OK button will launch the Adyen interface where the card & guest details should be entered:
Once successfully completed a token is created and stored against the guest profile for future use. Any payments will drop into HART accordingly.
Charging a Token
Where a token has previously been created an needs to be charged then depending on whether the charge is to create a deposit or settle a final bill the Credit Card button should be pressed in the relevant window. The example below is using a previously generated token to take a deposit payment.
Select the Charge/Refund Token option and click OK to proceed
In the following screen input the amount to be charged and click the ? button to view the available tokens. Where a guest has multiple tokens available these will be displayed here. Double click on the token that needs to be utilised, pressing Charge to proceed
The charge will be made and the deposit delivered to HART. If there are any errors these will be displayed. It's advised that error details are copied as they will help support diagnose any issues
Generating a payment link
Payment links are a secure way of taking payment and offer greater protection for the business compared to regular telephone transactions. Guests will be sent an email with a unique link allowing them to make payment in the same way to an ecommerce transaction. Payment links can be used for both final payments and deposits in the following places:
Final payments:
- Rooms
- Functions
- Groups
- Sales Ledgers (Transactions and Folios)
Deposits:
- Rooms
- Functions
- Groups
- Restaurant bookings
- Spa ~ Treatments & Spa Days
- Classes
- Golf

To generate an Adyen payment link select the Generate Payment Link option after the Credit Card button has been pressed:
Actioning Refunds
Unlike other payment providers, Adyen reverses payments made either in part or whole. As such a refund can not be issued for any amount larger than the payment taken.
To action a refund, select the Credit Card button in the Deposit or Billing tab and select Charge/Refund Token
Enter the amount to be refunded and click Refund:
The following screen creates a summary of the payments and are available to refund. Please note that payment links can not be refunded. Double click the transaction to be reversed:
The reversal will then be made and posted to HART:
Please note when making a partial refund, the first reversal must clear via Adyen before any further refund can be made. This can be actioned within minutes however can take up to 48 hours to process. The status can be checked via the Adyen dashboard |
