By the end of this article you will be able to:
- Create the Sage or Xero Interface
- Input the nominal codes
- Export financial data to Sage or Xero
Navigate to Configuration > Access > Interfaces.
To set up the interface we must follow the below steps.
First, navigate to the middle window and right add an entry.
To create a Sage interface complete the following fields:
- Interface: Sage
- Type: Accounting
- Alas: Sage
- Unit: Only populate the unit if Hart is used to for more than one main unit and each unit should have their own Sage account
Inside the bottom window to the left-hand side right-click, add entry and enter the following lines one at a time. Make sure to save once done.
Schema displays the version of Sage, if you are using the old version of Sage this should read 1, if you are using Sage version 2 please type in 2 and save.
To set up the Xero interface go to Configuration > Access > Interface
Enter the following information:
- Interface: Xero
- Type: Accounting
- Alas: Xero
- Unit: Only populate the unit if Hart is used to for more than one main unit and each unit should have their own Sage account
Make sure to save once done.
The next step is to enter the nominal codes from Sage or Xero.
Configuration > Finance > Links
Free type the nominal codes into each revenue centre and save.
Configuration > Finance > Payments
Free type the nominal codes into each payment type and save.
Configuration > Finance > Financial Year
In here navigate to the Ledgers window to the middle of the screen.
Now right-click and add entry and select the ledgers you are using in Hart and want to export to sage or Xero one at the time.
You must free type the nominal code from your finance accountancy software. Use the details for internal purposes if a note is required.
Inside the column Revenue Recognition, there is a drop-down with 2 options Event & Payment. All Ledgers are linked with Event EXCEPT Deposit and VOUCHER. Those two are set to Payment. Please also note that this is only required for the Sage interface, not Xero.
Exporting
To export your financial data, go to Reports > Financial > Export, select the from and to date the export should be run for and run the running man.
You can now use ‘Excel Export’ to turn this into an excel file and save this in a file of your choice. This file will be compatible with Sage or Xero to be imported.
