- Create prompts and information for room and function booking
Prompts are useful to remind your team to either gather or ask for information when making reservations and are manually configured to suit your customer journey procedures.
How the prompters work
Below shows an example of a prompt that is;
- Reminding the user to enter in contact details
- Reminding the user to ask the guest if they would like to book a table in the restaurant.
- Reminding the user to explain Spa usage
- Reminding the user how to end the call
The prompts will show once the room booking has been made and has been saved. The first prompt has taken us to the profile tab and displays the prompt that we have configured as an example. This is a data entry prompt as we are prompting the user to enter data.
The user must then press the continue button which will then take you to the next prompt, This is located on the top left-hand side of the HART toolbar.
NOTE: If the continue button is not pressed after a data entry prompt the next prompt(s) will not appear and the user can just exit out of the saved booking. |
The second data entry prompt takes us to the restaurant tab and displays the second prompt that has been configured. Here the user can book in the restaurant booking or press the continue button to move to the next prompt.
The third prompt we set up is an information prompt that displays as a pop-up window.
Pressing ok brings us to our last information prompt.
NOTE: When you have an information prompt pressing ok will take you to the next prompt. If it is a data entry prompt you must press the continue button. |
If you have already made a room booking you can see the prompt(s) by going back into the booking and pressing the prompt arrow to display the first prompt then the continue button.
To Create a Prompt
Navigate to Configuration > Global and then the Prompters tab and this window appear. You can then see how we configured the examples above for rooms. The same principle can be applied for function bookings
- Order: free type the order that you wish the prompters to appear.
- Menu: using the drop-down box choose your menu for the prompter.
- Tab: double click in the tab field and choose the tab that the prompter relates to. For example, choose Restaurant if you wish your prompter to direct the user to the restaurant tab when in a room booking window.
- Text: free type your prompter text.
- Type: using the drop-down box select your type;
- Data entry: use this when you need the user to complete an action.
- Information: use this when you need to give the user information.
- Template: currently not in use
- Status: tick this box to make your prompter active.
