By the end of this informative article you will be able to:
- Understand what each tab does under configuration functions
- Understand how they are used
This is a walkthrough guide intended to give you information on what each button can do. It is not a guide on how you create a function booking. Please see our How-To Guides for that information.
Go to Reservations> Function Booking
This window appears.
Function: displays your function name and is a free type cell.
Arrival and depart: displays arrival and departure dates.
Guest: displays the name of the guest if applicable.
Company: : displays the name of the company if applicable.
Contact: displays the company contact if applicable.
Agent: displays the name of the guest if applicable.
Booker: the name of booker if applicable.
Host: displays the hosts' name, this relates to contact on the day on the function sheet.
Status: display the function booking status.
Code: displays the WBE online code if applicable.
Source: displays the source.
Segment: display the segment.
Subsegment displays the sub-segment.
Manager: displays the in-house manager for the function.
Contact info: displays the contact information.
How heard: displays the how heard information.
Occasion: displays the occasion information.
Meeting: displays your meeting type.
Rate: displays your rate plan for the function if applicable.
Hotel Coordinator: displays the in-house hotel coordinator.
Payment plan: displays the payment plan if applicable.
Decision/ confirm: displays decision and confirm dates.
Value: displays the value of your function when the financials have been added.
Billing notes: displays your billing notes.
Handled by: shows who the function is being handed by.
Created on: shows who created the function.
ID: shows you the ID of the booking.
People: displays the number of people that will attend the function whether they have room reservations or not.
PO: displays the PO number if applicable.
Contract: shows if you have sent a contract.
Last day: under re-development
- Estimate: shows your estimate value of the booking which is a free type field.
- Unit: displays which unit the function is applicable for.
- Colour: displays the colour of the function on the function sheet.
HART buttons
- Events: this button allows you to view your event summary, redo events or see the event log.
- View event summary: clicking here will bring up an event summary, where you can edit your event(s) and either print, copy or delete them.
- Redo: pressing here will delete all your events.
- Event log: pressing here will display an event log.
- Group: this button allows you to create a group of bedrooms for your function if required.
- Diary: this button opens the function diary.
- Sheet: this button opens your function sheet.
- Modify: this button modifies your function status, if lost or cancelled.
- Copy: this button allows you to copy your function.
- Check in: this button checks in your function.
- Check out: this button checks out your function.
- Proforma: this button displays your Proforma.
Events tab
Top window
Under this window you can see and create your events
Bottom left window
Under this window you can add a miscellaneous charge.
Bottom right window
Under this window display any golf details.
Group Tab
This tab displays any bedrooms in the group that are linked to the function if applicable.
Room tab
This tab displays the individual’s rooms that are linked to the function if applicable.
Attendee tab
Under this window you can see and create your attendees for events if applicable.
Billing tab
Top window
Displays the folio(s) relating to the function.
Bottom left window
Displays the bill.
Top right window
After the function is checked in you can add additional charges here.
Bottom right window
After the function is checked in you can add additional payments here.
Financials tab
Under this window you add your financials, see, and add your deposits and generate your payment plan if applicable.
Rate Tab
Under this window you can see all your bedroom details, if you have bedrooms linked to the function
Top window
Displays all the room rate information relating to the bedroom rate plan.
Middle window
Displays all the inclusive service information relating to the bedroom rate plan.
Third window
Displays the rate plan extras information if applicable.
Bottom window
Displays what has been booked and the charges that are going to accommodation.
Package tab
Displays the package information relating to accommodation.
Bottom window
Allows you to add miscellaneous charges, for example travel cot, to the function if applicable.
Activities tab
Under this window, you can create your activities relating to the function.
Bottom window
Under this window you could add any competitor notes, for example if you lost a booking to a competitor you can put why.
Notes tab
Displays the value of the financials but only when choosing custom.
Middle window
Under this window you add your equipment required, which will take this out of stock
Bottom window
Displays your lost / cancelled reasons if applicable
Food tab
Under this window you can see and choose from a pre-configured menu.
HART TIP: your event must also be configured to meal under Configuration > Functions |
Menu tab
Under this window you can free type menus which will show on your function sheet.
Comments tab
Under here you can add and see any feedback relating to the function.
Accounts tab
Displays the account details if applicable of the company or agent if applicable.
Guest tab
Displays the guest details linked to the function, if applicable.
Table tab
Under development
Documents
Under this tab, you can add and see any documents relating to the function.
