How to Make a Restaurant Booking

By the end of this training article you will be able to: 

  • Book restaurant booking 
  • Cancel a restaurant booking 


In order to book a table inside one of the hotels' restaurants go to Reservations > Facility Booking and select the restaurant, you would like to make a booking for. A selection of available restaurants will open just like the example below, just click on the restaurant you wish to make a booking for. 


 


The following screen will open 

 

 

The left-hand side will show you the date the booking screen is on. Click the calendar to select the date you wish to review/ or create bookings for.  

Use the New button to add a new booking after choosing your date from the calendar above.  The list button will show a list of all tables for this date and the quick button will allocate all bookings to a table randomly. 

The service is displayed in blue writing with the relevant time slots underneath. The green highlight means that there are still tables available to book, red would show a time slot that has been blocked out manually or is already fully booked. 

  • Time: the time slot 
  • Bkd: how many covers are already booked 
  • Cap: maximum capacity for this time slots 
  • Ttl: total covers booked 
  • Avl: available covers 
  • Tbl how many tables are booked 
  • Total: total covers booked per service 
  • Day: total covers summary for the day 

On the right-hand side, the booking screen is displayed, either by selecting new where a blank screen appears or by double-clicking onto one of the existing bookings on the right-hand side. 

 

 

Booking details 

To start the booking navigate to the guest field, either double-click or pressing F8 will open the guest wizard (the guest wizard contains all existing profiles in Hart). Type in at least two letters into the surname field to start searching for an existing profile. If your search does not find an existing profile for this guest use the new button. This will open the following window 


 

Fill in all know details and save. 


HART Tip: This field works with postcode look-up! Simply type in the postcode and click into the address field.

 

 

  • Guest: shows the guest profile or main booker 
  • Ad/Chi: shows how many adults and children are part of this booking 
  • If is ticked it indicates a regular customer (been at least once before) 
  • If is ticked by a user it indicates that the confirmation has been send 
  • Use company to link this booking to a company, the steps to populate this field are as above 
  • Contact: the companies contact which is set up in sales/ accounts and then available via the drop down 
  • Date/ day: shows which day and date this booking is for. By selecting the arrow to the right-hand side, the calendar opens, and the date can be changed, make sure to save (F3) 
  • Time: shows the time this booking is currently booked in for, by selecting the arrow to the right-hand side the available times will show and you can change the time from here 
  • If surprise is ticked every user is aware that this booking is a surprise 
  • Table: is here to allocate a table, if a table number shows in red and crossed out this table has already been allocated  
  • Allocate: will auto allocate all tables according to the set up in configuration/ facilities/ restaurant/ tables 
  • Status: shows the current status of this booking. The drop options are definite, cancelled, waitlist, no show, tentative. To change the booking to any of these statuses select the status from the drop down and save. By default, all new bookings are definite. All but the definite bookings show beneath inside the relevant tab. The definite bookings show on the right-hand side inside the main window. 
  • How heard: shows the marketing information to track where the business came from 
  • Spa: shows the spa booking id if relevant  
  • Rm: shows the room booking id if relevant  
  • Phone: is for the guest’s phone number, please select home, office or mobile from the drop-down menu next to this 
  • Id: shows the booking id for this restaurant booking 
  • Email: displays the email address from the profile selected above, however this field can also be free typed 
  • Package: will display the restaurant package/ rate plan this booking is on  
  • Service: displays the service (i.E. breakfast, lunch, afternoon tea, dinner) this booking is booked in for 
  • Room: displays the function room this booking is in 
  • Created: will show the date and day this booking was created 
  • Notes and request: are free type fields which will show on the booking sheetl. Use F5 to show the user and the date a note was added


Below we have the following functions:

 

  • +Table: will merge two tables together, lets say table 1 and table 2 are for 2 covers each, table one will be allocated inside the main window and table 2 inside this tab to create a table for 4 covers consisting of table 1 and 2 
  • +Room: is used to link this table booking to a room booking 
  • Notes: are here to add any additional notes 
  • Package: gives the user the option to select or remove the restaurant package/ rate plan 
  • History: will display the history of the booking, who made this booking when and which changes were applied 

 

 

  • Details: will let the user add special requirements and communication preferences to this booking+Guest: is used to add any know additional guests’ profiles to this booking 
  • Deposit: is used to add and remove deposits to this booking
  • Traces: will allow the user to add traces to this booking, please see 
  • Profile: will open the complete guest’s profile as in reservations/ guests’ profile 
  • Confirm: will open the email editor to send a confirmation to this booking. These are set up in cloud reservations 
  • Tab move: to move this booking to a different restaurant, a new window will open, simply double click onto the desired destination 
  • Find id: is useful if a restaurant booking id is known and used to search for it 
  • Save: will also save your details, just as F3 or the floppy disc at the top of the menu toolbar 

The final tabs below show any bookings that are waitlisted, tentative, canceled, or have been marked as a no-show. If the user wanted to change the status, simply double click on the booking below, this will move it for amending into the main booking tab, just select the new status from the drop-down inside the drop-down for status and save. 

 

Use the misc tab to add blocks for booking slots by using + to add and – to remove. 

The occupancy is a snapshot of the hotels bedroom availability and yield is displayed below.
