To use tokenisation in HART, you must have the correct payment gateway and interface set up. Please contact HART Support if you would like to find out more information on how you can do this.
The tokenisation interface in HART has two main sections with different uses.
Firstly, the Card Transactions area. This I to be used only when you have the card number and full security details. Ie, creating a token, refunding directly to a card, or processing a CNP payment without creating a token.
Secondly, when using an already existing token, you use the Token Transactions section.
Creating a token or charging a deposit for a room reservation in advance
- Create the booking as normal and save.
- Click on the Deposits tab on the right-hand side of the booking window
- Press the Credit Card button and the following box will appear.
4. Press the Registration button and a web page will open whereby you will need to input the credit card details. Once you have input them and pressed proceed, you can close the window and head back to HART and press the continue button. NOTE: you must press the continue button at this stage.
5. The card token has now been saved to the guest profile.
6.You will automatically be given the option at this point if you would like to charge the token. Press Yes if you need to take a deposit on the card at this time.
7. The transaction will drop into the deposit field and your deposit is complete.
Charging a token as Customer Not Present
1. Go into the billing screen of the booking you need to charge when you are ready to take payment.
2.In the Payment window, press the Credit Card button.
3. This will bring up the same tokenization pop up as before. This time, press the ? button and it will pull up a list of tokens that are registered for this guest. Select the one you require and double click on it.
4. You will see the token has now pulled into the Token field. Fill in the amount you need to charge to the card in the top box, and then press the Charge button to process the payment.

6. If you need to process a refund on a token, follow the same steps but press Refund instead of Charge. NB: you should not put a negative amount in the top box for refunds.
Creating a token at check-in
If you need to create a token after the guest has checked in, the same process applies as for the deposit element, apart from you do not go into the Deposits screen. Go into the billing screen and press the Credit card button to bring up the tokenisation pop up.
Notes:
Once you have a token for a guest it stays on the profile indefinitely. This means for regular customers you do not need to tokenize the card each time as the previous token will still be valid if the card is.
The same process applies for taking deposits through tokenisation for other areas of the business too. In your restaurants, you press the Deposit button and then the Credit Card button to bring the tokenisation window up. The same applies to Spa.
