How To Action Room Moves

By the end of this training article you will be able to:

 

  • Schedule a room move in advance
  • Move a bedroom once a guest has been checked in
  • Allocate and use Overflow bedrooms in case the hotel is fully booked.

There may be circumstances when a guest is allocated a room for a one-night stay but then needs to change rooms for the rest of their stay, or an in-house guest requests to move rooms. These types of room moves are always done via the room rack.


Start by allocating the bedroom in the usual way. See the article How to allocate a bedroom

 

If you are scheduling a split stay/room move in advance, navigate to Reservations > Room Rack. 


In here left-click booking you wish to allocate the split stay to, and on the date that you need to room move to take place. You will see on the right-hand side that you are currently editing the room.



Next right-click on the date and room you wish to move the guest to, and select move from the menu.


You will be asked to confirm your room move.


Click yes and you will see the room move on the room rack 


 


The Asterix in front of a guest's name indicates that more than one room has been allocated to this guest's stay.

 

Completing the room move is done on the day of the room move, you will see in your arrival window that although the guest status is check-in, they appear as an arrival. When you hover over their reservation ID you will see room move information appear, the reservation ID is also shaded in. 


This is designed to remind reception that the guest will need to be offered assistance with their luggage, shown to the new bedroom and new keys given to the guest.


To complete the room move when the room is ready to be moved into simply check the room in again.




If you have a guest who is already in-house and wishes to move rooms, follow the same procedure on the room rack as shown above, and the guest will be moved immediately.



In some circumstances, you may need an additional bedroom to manage and move your room bookings. The bedrooms are called overflow rooms. They are used if the hotel is fully booked but a booking must be allocated and temporarily 'Parked'. These bedrooms are not actual rooms and will affect your occupancy or average room night reports.
