The Marketing reports can be accessed via Reports > Sales > Marketing.
Occupancy
Over the date range selected this report shows:
- Occupancy by Room Type. The columns are:
- Room Type: Room Category
- # Rooms: The number of rooms in this category
- Available: The Number of rooms within the category * number of days within the selected period
- Comp: The number of complimentary rooms nights as defined by the Segment field on room bookings
- House: The number of house room nights as defined by the Segment field on room bookings
- Out of Order: Out of order room nights within this period
- Rooms Nights: The total room nights sold
- Sold: The total room nights sold (comp+house).
- Rooms sold %: Sold / available rooms (N.B. this sum takes into account OOO rooms)
- Revenue: The net rooms revenue achieved for this room category
The same data is then detailed below showing the stats from the start of the year to the To date of the report:
Further down this report details both report date and year-to-date statistics for sources and segments (as defined by the segment field on room bookings). Please note the order that segments are displayed matches the order defined within Configuration > Accounts
Finally, there is a high-level summary of this year versus the previous two years.
Rooms
Over the date range selected, this report details the performance of individual rooms. The left-hand columns is performance during the date range of the report whilst the right-hand column details performance from the start of the year to the To date of the report
The statistical columns are:
- #Nights: The total number of nights this room was occupied
- House: The number of house room nights as defined by the Segment field on room bookings
- Diff: Total nights - House nights
- Revenue: The total net room revenue achieved for this room

Accounts
This sub-report works on an annual basis and looks specifically at the production of Agents. After making a year selection, select the Rating.
Ratings are defined within the account profile: Sales > Accounts > Details
Agents can be linked via the Parent account function e.g. SmartFlyer may be loaded as the Parent agent with affiliate agencies attached to the parent. By clicking the Parent tick box on the report, the production of all child accounts will be gathered together and displayed. Accounts are linked within Sales > Accounts > Details via the Parent Account field.
When running this report without the Parent box ticked, production of individual accounts is displayed and if they have a parent account this will be displayed in brackets e.g. Valerie Wilson (Virtuoso)
Rate
This sub-report works on an annual basis and looks specifically at the production by Rate Plan. After making a year selection, select the specific Rate Code to analyse. To see all rate codes insert %% into the rate code box
The report analyses the room nights and ADR produced by rate plan and compares to this year to the same time last year month-by-month. Please note any Complimentary rate plans are excluded from the statistics. Rate plans are defined via the Charge field on Sales > Rate Plans > Bedrooms.
Repeaters
This sub-report is split into two sections:
The upper part details the number of guests staying by month where their visit is not their first. This data is then compared year-on-year. The information displayed shows the number of stays and room nights from repeating guests; the total stays and room nights and the percentage of Room Nights that repeaters have contributed
The lower section of the report shows those guests that are Repeaters according to the year and month selected at the top of the report
Country
This sub-report looks at the countries and regions that guests have visited according to the year and month selected. It's possible to limit the results to the top 'x' number of countries e.g. 5.
The upper section of the report details the countries the guests have visited from and the total of all room nights that this comprises of. The country detailed is according to the input on their guest profile. The left hand summary provides details for the month queried whilst the right gives a summary Year To Date
The lower section details the region per month that guests have visited from across the year.
The region that a country is defined as belonging to is set in Configuration > Global > Countries
The required regions should be added in the red above following which the region can be defined against the country (highlighted area)
Executive Summary
This sub-report is designed to provide an overview of key accounts by specific members of the team. In order for the report to function there are two areas that first need configuration.
1) Sales > Team
The Exclusive Summary field needs ticking so defined activities from this manager will appear within the report:
2) Configuration > Accounts > Activities
An Activity Header must be added (red boxed area) following which this must be applied to specific activity types (yellow highlight)
Once complete the report can be run both historically and for future dates and show the defined activities by the defined individuals. The report can be run on the Trace Date (i.e. the date the activity was set) or the Review Date (i.e. the date the activity was set for).
