How to set up a Account for use with Account Management

By the end of this Information article you will be able to:

  


 

Create an Account

Navigate to Sales > Accounts and fill in all the relevant details in the top window;

  • Name: free-type  the name of the account
  • Address: free-type  the address 
  • City: free-type the city of the account.
  • Phone: free-type  the phone number
  • Country: free-type country of the account.
  • Email: free-type the email of the account.
  • Type: choose company or agent from the drop-down box
  • Postcode: free-type the postcode of the account.

 

NOTE: After entering the postcode pressing Tab will bring up postcode look up. 

 

  • County: free-type  the county 
  • ID: this field will automatically pre-populate when you press save

 

Once you have entered all the relevant details, press save 


 

Create contacts and information for the account

Navigate to the contact tab and by right-clicking and adding an entry in the left-hand side field fill in all the relevant details for the account contact.

 

NOTE: You can add more than one contact here by right-clicking and adding more entries

The rating field is a drop-down box, which is configured under Configuration > accounts > rating tab.

Once you have added your contact press save.

 

Adding information 

In the bottom left-hand window, by right-clicking and adding an entry choose from the drop-down box the role and demographic of the contacts. In the bottom right-hand window choose the interest for the contact from the drop-down box. This is for information purposes.

 

NOTE: The role and demographics are configured under Configuration >Accounts and the contact tab. The interest is configured under Configuration > Front Desk and the Interest tab.

How to add notes.

In the top right-hand side window, you can right-click add an entry and free type any notes.


Adding activities

In the middle section by right-clicking and adding an entry, you can add activities for the account.

 

NOTE: Please see the How to Create and Manage Activities article for more information.

You can also add activities by navigating to the activities tab.

Room booking information  

Navigate to the booking tab to see any room bookings that are linked to the account Graphical user interface, application

Function  booking information 

Navigate to the function tab to see any function bookings that are linked to the account

Set revenue expectations and information

Navigate to the Details tab and by right-clicking and adding an entry add in all relevant information to assist with the management of the account expectations.

  • Industry: choose the industry from the drop-down box, this is configured under Configuration > Accounts and the type tab
  • Rating: choose the rating of the account from the drop-down box, this is configured under Configuration > Accounts and the rating tab
  • Account manager: choose the in-house account manager from the drop-down box
  • Room potential: choose the room potential revenue from the drop-down box, this is configured under Configuration > Accounts and the potential tab
  • Parent account: double click here if you need to link this to a  parent account.
  • Credit type: choose the credit type from the drop-down box.
  • Colour: double click in this field to choose a colour code for the account 
  • Function potential: choose the function potential revenue from the drop-down box, this is configured under Configuration > Accounts and the potential tab             
  • Competition: choose the competition from the drop-down box, this is configured under Configuration > Accounts and the competition tab       
  • Marketing action: choose any marketing action from the drop-down box you may have for this account. this is configured under Configuration > Accounts and the action tab       

 


Adding billing information.

Navigate to the Billing tab and by right-clicking and adding an entry add in the billing information for the account.

Feedback information

Navigate to the feedback tab, any feedback from a function displays in this window, this is filtered from the comment tab in a function booking.

Running the productivity and revenue reports

Press the profile button in the top window and the account profile report will run showing you the account information you have added, and the productivity of the account.

To add documents

Navigate to the document tab and by right-clicking and adding an entry add in the file path for the document,
