How to carry out a Stocktake

Running the stocktake report

When you are ready to carry out a stock take navigate to Materials> Stocktake and click the three greys dots to choose the store and the date of the stocktake, then press the ok button and the running man to run the report.






Understanding the stocktake report.


  • Category: displays the category of the item
  • Stock group: displays the stock group of the item
  • Stock subgroup: displays the stock subgroup of the item
  • Bin/code: displays the bin code of the item
  • ID: displays the ID of the item
  • Item: displays the name of the item
  • Opening: displays the opening amount of the item
  • Theoretical: displays the theoretical amount of the item, if you have this configured to display in your store
  • Unit: displays the unit measurement of the item
  • Unit cost: displays the cost of the item
  • Actual:  free type in this columns the actual stock that you have counted
  • Discrepancy: displays any discrepancy you have from the system calculations



Closing the stocktake

Once you have counted your stock, free type the amount in the actual column. If you display the theoretical amounts you have the option to press the accept theoretical button which will drop into the actual columns which can then be overwritten if necessary.


NOTE:  the stocktake must be done before the first transaction of the day as any items that are connected to stock through bedroom packages will be counted at night audit.


The discrepancies column will show you any discrepancies that you have according to the system's calculations.

If you are happy with the stocktake press the save and close button.


Item reports

If you have any discrepancies with items the stocktake report is interactive so you can double click on an item to take you to the item window.

Here you can press either the Audit Trail or Stock button. The audit button will show you the movement of an item within the time frame you wish to specify. The stock button shows a report that shows you the current stock level.
