HART gives you the ability to schedule the reports that you wish to receive daily or on specific days in your email. Here is what you need to do:
The first action you need to take is to go in Configuration/Global/Advanced and tick the box next to Email Reports to activate this functionality.
During the ‘Close Day’ process, emails will be sent automatically to the people that have already set up their preferred reports in Configuration-Report Schedule.
The above window is the header. Insert a description and the email address of the person that wishes to receive the reports by email. If there are more than one people interested in the same ones, then please separate with a comma (,)
In the window bellow, select the report. In the drop down the reports with saved options appear with a flag and are displayed in bold
Check ‘Yesterday’ if you wish yesterday's dates for the report or leave it unchecked for today’s date (Hotel Day). ‘Saved Options’ is checked automatically. Select the report option from ‘Saved Options’.
e.g. For ‘Vouchers’ report there are two saved options in this example. Both can be selected for auto email. Select the option and save.
As a default reports will be sent every day however it is possible to schedule reports to be sent on specific days of the week via the right hand panel:
In the example above this report will only be sent on Tuesday and Wednesday
You can TEST it by pressing ‘Send’
If the selected options are more than one as showing below
the email will be like this:
As a default options will be emailed to the recipients however it is possible to print these also. In this instance reports will be printed by the default printer of the computer used to run Close Day. The toggle to print or email is located within the report header:
In order to Save Options on your reports go to Tools/Save Options while you are in the Report that you wish to see it with the particular options
Type a name (e.g. Expired because ‘Expired’ is checked) and check ‘To be used in the Report Scheduler’. If this is not checked it wont appear in ‘Report Schedule’
Press ‘Save’. The Saved Options are saved with the current user id. When ‘To be used in the Report Scheduler’ is checked they are saved with user id ‘Scheduler’.
In Tools-Retrieve Options the options of the current user and Scheduler are displayed. As seen below, we can have the same option for user id and for Scheduler. In the report we can use both.
In ‘Report Schedule’ only the ‘Scheduler’ options appear
