Please ensure you have contacted HART support ahead of setting up your Spa Treatment engine to ensure it is included in your package.
Configure Base Settings
In cloud reservations, navigate to Facilities > Spa > Facilities. Add a new record.
- ID: Automatically generated when you save. This will be your web ID for the Spa engine
- Name: The name of the spa you are creating
- Type: Select Spa
- Font Family: Do not use
- Payments: Master switch to turn on payments when you are ready
- Activities & View by Date: Only used for the Classes engines, not Spa treatments
Save your changes.
Next, navigate to Hotel > Pictures > Spa Background and upload a background image for your spa day engine.
In the same area, select Spa Logo and upload a logo for the header. Currently creating an image which is 1000x90 pixels wide works best for the spa header.
You will now be able to view your spa engine as you work to make the rest of the changes. The URL structure will be:
https://cloud-reservations.net/BookSpa/Index/*hotel ID*?spaID=X
Navigate to Hotel > Templates > Spa Confirmation and this is where you can set up your booking confirmation. The following tags work on the treatment confirmation.

Finally, still in the templates section, choose the Spa Terms and Conditions. Here you can put your T&C's which will show on the checkout page.
Syncing Treatments from HART
In HART, navigate to Configuration > Services > Spa > Services. For each of the treatments, you wish to make available online, select WBE Treatments and tick the Web Publish button.
Do this for each treatment and press F3 to save.
Then Navigate to Configuration > Facilities > Spa in HART, and select the Spa Facility. In the Online section, fill in your configs.
- Lead: How far in advance you will allow guests to book online in days
- Max: The maximum amount of treatment times which will show to a guest online
- Span: The minimum lead time for spa treatment bookings. ie, 1 in here would not allow same day bookings
Save your changes.
Finally, go to cloud reservations, and in Facilities > Spa > Facilities press the Syncronsie button. This will pull the treatments through to the web.
Create Menus
In cloud reservations, navigate to Facilities > Spa > Headers. Here you are going to create your menu headers or treatment groups. For example, Massage, Facials, Nails etc.
Add a new record for each header and then save your changes.
Navigate back to Facilities > Spa > Facilities and select the Headers tab. Add a new record and then select your header from the drop-down list. Here is where you can set the order in which the headers display.
Now select the menu tab. Here is where we will link the individual treatments to the headers and set the pricing.
Add a new record, select the header from the drop-down list, and then select the treatment from the drop-down list. Put the price in and tick to make the treatment active. Continue to do this for all your treatments.
Save your changes.
Adding Treatment Information
Navigate to Facilities > Spa > Services and select the spa you have just set up from the Facility drop-down. This will pull up a list of all the treatments you have synced across, and you can put a brief description for each treatment in the right-hand column.
Supplements
Navigate to Facilities > Spa > Facilities and select the Supplements tab. Here you are able to add things such as weekend supplements.
- Supplement Text: The text which will be visible to the guest
- Service/ Treatment: Which treatment the supplement applies to
- Days: Which days of the week the supplement applies to
- From & To: The date range the supplement applies to
- Price: The new price
Checklist
Your spa treatment engine should now be ready to test and set live. Just use the below checklist to ensure you have not missed anything.
- Treatment descriptions added
- Booking confirmation added
- Spa Day T&C's added
- Payments are turned on once your testing is complete where applicable
