How to use the Restaurant Diary

By the end of this training article you will be able to: 

 

  •  Understand the functionality of the Restaurant Diary 
  • Use the service tracking 

 

Reservations > Restaurant 

 

In here you will find the booking sheets of the current day per facility. To open this go to reservations > restaurant > select the facility you are wanting to view, type in the password and select the service. 

 


To view bookings for a different date, use the calendar inside the top left hand side, simply click onto it then click on the desired date. 


By default, all time slots display on this interactive report, if you wish to hide them check the Bookings Only box to the top right-hand side of the screen. Excluded Seated will excluded guest already seated in the restaurant. 

Your booking sheet is used for service tracking. To do this use Lounge to free type the table number or letter the guests is sitting at in the lounge for pre-dinner drinks, so everyone is aware where the guests sitting, or whether they have arrived in the first place.  


If you decide to sit the guests on a different table in the restaurant, double click into the Table field, this will show all available tables in black. 


 


HART Tip: All available tables are also being displayed at the bottom of the screen. 

Once the canapes have been served check the C. 


To log the time the menu was given to the guests, double click into the Menu and the time will drop in automatically.  

SA stands for send away, so if the Maître D’ went to take the order and was send away, because the guest was not ready, you would type in 1, in the below example he/ or she was send away twice.  This is helpful in an event of a complain later about the waiting times, as anyone will be able to see that the order was attempted to be taken twice.  


 


Double click into Order to log the time the order was taken and Wine for the wine order. Use BIN to log the bin number of the wine this guest has choose, it is a free type box. 


Now the guests is ready to be seated use the Seat Guest function at the top of the sheet, this will highlight the Guest Name in green and makes it clearly visible to everyone that the guest has been seated. 


Once the guest has finished their dinner and retires for coffee in the lounge use the Coffee section to log the guest’s location by free typing the table number in here.  


Any additional notes can be free typed into the Notes section, but they are also pulled through from the reservation screen. 


  • To navigate to the reservations screen from here, click into one of the bookings and use Reservations at the top of the booking screen. 
  • To navigate to the guest profile screen from here, click into one of the bookings and use Guest Profile at the top of the booking screen. 
  • To export this report use the Excel function at the top of the screen, this will turn this into an excel report to save or print, or simply use Print to print this report.
