How to book a tee time

By the end of this training article you will be able to;

 


Navigate to Reservations > facility booking and select your golf course.


The start sheet screen will appear which shows the calendar, notes that you need to be aware of and booking types on the left-hand side. The middle window shows the times, and players for both the First Tee and Tenth Tee.


Choose the date you need to book from the calendar on the left-hand side.

 

 

Next double click on the available slot you wish to book, depending on your company procedure and the tee time booking window appears.



Free type the surname in the surname field, first name, title, and email address, press either the Members button if the guest is a member, the Everybody button to search for an existing profile, or the New button if the guest has not been before.

  • Member button: will bring up the member profile.
  • Everybody: will bring up an existing profile.
  • New: will bring up the guest wizard where you can add a new profile.

 

By double-clicking select, the correct player from the choices given or create a new profile. Next you need to select the booking type from the right hand side. You will then see the booking type window will change to the correct booking type colour. 



You will see that the player drops into the bottom right-hand window, with the colour of the booking type that you have chosen. 

If you have another player to add to the tee time, repeat the steps above starting with the profile. When you get to the point of choosing the booking type, you can select set all players which will set all your players to the chosen booking type or choose a different type.


HART TIP: The booking type window will only display the booking type that is available at the day and time you have chosen.


Next, you need to choose the rate per player. Double click on the correct rate in the middle window and you will see this drop into the pricing window. For this example, we have chosen the green fee of £100.00 and for the Members Guest £50.00. If you have made an error press the Reset Green button and start over.



Choose 9 or 18 holes depending on the booking and Press save or F3. And you will see a booking ID is generated.



If you have made an error in either booking type or price for one player, click next to the player in the radio button and click either a different booking type or a different price.


If you have a confirmation set up for tee times click on the confirm button which will then open the email editor. Ensure you check the details and add any attachment(s) according to your company procedure before sending.

Press the exit button at the bottom of the screen and the booking will now appear on the Tee sheet


Adding a deposit


To take a deposit, once in the booking window screen click the payment tab. Press Add and add the deposit according to your company procedures. The deposit will then appear on the right-hand side pricing window Press the save button under the pricing window on the right-hand side.

 

 

Under the notes tab, you can free type any notes if required. This appears on the tee time sheet under the Notes column as a *

 


 

Adding a buggy

 

To add a buggy to the booking, once in the booking screen window under the booking details and the buggy tab,  double click on the type and rate(s) that you are booking, the price then appears here. For this example, we double-clicked on the member rate. If you need to add more than one buggy double click on the correct rate again.



 You will see that the buggy price appears in the buggy field in the pricing window. You must then press the Save button in this window.

NOTE: The available column tells you how many buggies are available to book



The number of buggies you have booked will then appear here on the tee sheet. 


Adding more tea times


If you need to add more tee times, maybe in the case of large golf groups or golf days, you can use the drag and drop feature.

Once in the diary tick the autofill box and highlight the tee times you wish to copy by left-clicking and dragging and dropping the tee times. Remember to untick the autofill box once you have finished.



NOTE this does not copy any pricing or deposits if you need to add pricing you must click on the tee time and add the prices following the procedures above.  

Useful Tips

 

By hovering over the first player of a tee time you can see details of the booking.

By right-clicking on a tee time, you can see the below

  • Copy: you can copy a tee time by highlighting what you wish to copy moving to the tee time you wish to copy this to and pressing paste.
  • Cut: you can copy a tee time by highlighting what you wish to copy moving to the tee time you wish to copy this to and pressing paste.

 

NOTE: this does not copy over any pricing, deposits, or buggy bookings that have been made in the original booking.


  • Change type: highlight the player you wish to change by left-clicking and then choose a new type.

 

NB: this does not take into account the booking type that is available at this time.


  • Cancel tee time: highlight the first player in the tee time you wish to cancel by left-clicking and then choose a cancel tee time. This will cancel all the players in the time slots.
  • Cancel player: highlight the player you wish to cancel by left-clicking and then choose a cancel player. This will cancel the player.
  • Cancel selection: highlight the selection you wish to cancel by left-clicking and then choose a cancel selection. This will cancel the highlighted selection. Please be mindful of any deposits or buggy bookings before cancelling a booking
  • Paste: to be used with cut or copy.

 

NOTE: this does not copy over any pricing, deposits, or buggy bookings that have been made in the original booking.
  •  Print: Gives you a printout at any time period you select.

  • Profile: This will take you to the highlighted guest profile
  • History: provides you with a history for the booking
  • Event booking: if connected to an event will take you to the event booking
  • Check-in: checks in the tee time
  • Clear: under development
  • Text messaging: if you have this set up please refer to the appropriate manual
