How to configure a Golf course

By the end of this article you will be able to;


Setting up the facility

Navigate to Configuration > Access and the Security tab. Add the password to access the configuration section for the golf facility by right-clicking, adding an entry and choosing Golf from the drop-down box, then free type a password, press save or F3.


Next, navigate to Configuration > Facilities > Golf, using the password that you have just entered when prompted.

The below screen will appear and you need to fill in all the relevant details.


Course Info

  • Name: free type your Golf course name.
  • Password: free type your password that will be needed to access the tee sheet from Reservation > Facilities.
  • Unit: select unit if applicable from the drop-down box.
  • Holes: choose from 18 or 9 holes.
  • ID: this will prepopulate once you have pressed save.
  • Active: this needs to be ticked to be able to access the facility.

Booking Info

  • Play Time: enter the time required to play between the 1st and 10th tee in minutes.
  • Lead time: enter the lead time allowed between playing and booking in minutes.
  • Members: enter the time span members can book in days starting today.
  • Guests: enter the time span guests can book in days starting today.

Types

  • Green fee: choose the booking type that reflects the green fee bookings.
  • Member: choose the booking type that reflects member bookings.
  • Function: choose the booking type that reflects the function golf bookings.
  • 9 holes: choose the booking type that reflects 9-hole bookings.

 

 POS Link

  • Outlet: choose from the drop-down the outlet where the course check-ins will take place to create an automatic open order.
  • Green fee item: choose from the drop-down the POS item that is used to charge the green fee. 
  • Buggy item: choose from the drop-down the POS item that is used to charge the buggies.


NOTE: If you have not already set up your Golf outlet, green fee and buggy items please see the relevant manual of how to create an outlet and items.

 


Creating the golf booking types

Navigate to the types tab and by right-clicking and adding an entry, create the Golf types.

  • Ord: free type the order you wish the types to appear on the tee time booking window.
  • Type: free type the Golf type.
  • Colour: click in this column to create a colour for the golf type.
  • Visitor: tick here if this type is available for visitors.
  • Members: tick this box if this type is available for members.
  • Functions: tick this box if this type is available for function bookings.
  • Online: tick this box if you wish this type to be available online ( with HART WBE ) 
  • Buggies: choose from the drop-down number of buggies per player this is used as a default for online booking.
  • Discount: this is under development.

 

Next with the type highlighted add in the period days and times that this type is valid for in the bottom window. 

 


Compatible types


NOTE:  This is still under development and to do this you must use the scheduler to set the booking type on the tee sheet. See how to set the schedular at the end of this article.

If you have a golf type that you wish other types to be able to book onto with the type highlighted in the compatible types window choose the compatible type and a validation password if required.

For example, you may have  Societies as a type but you will allow Hotel Guests to book on this but not day visitors 



Setting up Buggy and other hire items 

To create a buggy or other hire items, navigate to Configuration > facilities > Golf and the buggy tab.

By right-clicking, adding an entry, and free typing you can add your buggies, trolley, club hire, etc in the top window.

For this example, we will be adding buggies.

  • Buggy type: free type the name.
  • Quantity: free type how many you have.
  • Time: free type the how long in mins the buggy will be used for in a single booking.
  • Publish: tick this box if you wish to be able to sell buggies online for HART WBE

In the right-hand window, you can also add in a time period for different quantities of buggies. by right-clicking and adding an entry.

 In the bottom window, you can then select which Golf type the hire items are for.

  • Type: select from the drop-down box the Golf type that the hire item is available for.
  • From and to: select from the drop-down box your from and to dates.
  • Days: select from the drop-down the days the hire item is available for.
  • Times: select the times that the hire item is available to book for.
  • Members: free type your member prices for the hire items for the period and days you have chosen.
  • Guests: free type your guest prices for the hire items for the period and days you have chosen.

 


Next, navigate to the buggy list tab, and here, by right-clicking and adding an entry you can list your buggies / hire item and their status.


  • Buggy number: free type a buggy number. 
  • Type: choose from the drop-down box the type (already configured under the buggies tab)
  • Status: choose from the drop-down either operational or out of order. 
  • Return date: add in a return date if the buggy is out of order.




How to Create The tee sheet.

Navigate to the sunset tab and press create. HART will create sunrise and sunset times.

Next with the Golf course in the top window press, the manage button, and the manage course window appears. 

Then press the view button and the tabs appear to enable you to start configuring your course.

 

  

Creating the Tee Sheet

There are two ways to create the Tee time slots, Sunrise / Sunset and Custom.

The Sunrise / Sunset option creates the Tee time based on exact Sunrise and Sunset times. The custom option is if you require certain start times for example 07.00, here is where you can determine the first and last tee if different to Sunrise/Sunset.

Once the tee times have been created you can use the adjust button to cut off tee times that are not feasible for example 07.00 in January.  


To Create the Tee Times

 In the top left-hand side window under the Tee times tab.


  • Dates: add the to and from dates. 
  • Days: tick which days this will be for.
  • Sunrise/sunset: click here if you wish the tee time to be between sunrise and sunset.
  • Custom: click here if you wish to set the time yourself.
  • First Tee time: add in the from time if chosen custom.
  • Last Tee time: add-in the to time if chosen custom.
  • Interval 1: add in your first interval in minutes.
  • Interval 2: add in your second interval in minutes if applicable.
  • Action: choose replace.

Once you are happy press the update button

 

Repeat steps until you have added the tee sheets that you require for each time and day of the week.

 

Using the adjustment section.

If you wish to make any adjustments to the newly created tee time you can do this via the adjustment window.

The remove button will remove any slots between the times you have added according to the from and to dates and days you have selected in the top part of the window.



To add more tee times you use the bottom left window.

  • Add at the start will add tee time slot in chosen intervals at the start of your tee sheet. Press add once you have added this
  • Add at the end will add tee time slot in intervals at the end of your tee sheet. Press extend once you have added this.




Creating your Golf rates using pricing templates

Navigate to the rate tab and ensure you have the correct course showing in the top field.

Add in your dates for the rate you are setting.

Tick the booking type that you are setting the rates for in the booking type window.


Next press the add button at the bottom of the window and a blank template will appear.  Free type in the Name field what you wish your pricing template to be called. Next tick the days you wish to set the price for and choose the times from the drop-down box. Add in your prices, if you press the calculate button the system will then automatically calculate the green fee price for 2,3, and 4 balls.

In the 9-hole price fields, complete the steps as above.

Press the save and update button. This will then set your pricing for the dates, days, and time period you have chosen

 


Setting ad hoc prices

You can also set Ad Hoc pricing here in the top window. Remember to tick your booking type and choose the correct date, days, and time.

 



You can check your pricing by going to the Price Table tab. Click on the date and the booking type to see the price you have set. You can also free type over these prices. Remember to press save.


 

Manging the tee sheet daily for HART WBE

 

10th Start tab.

This section allows you to set by day whether a 10th tee start is allowed. Just click on either allowed or not allowed and then click on the date.

 


 

9-hole tab

This section allows you to restrict any 9 holes on certain days, you can do this for indivdual days by clicking on the date, pressing the add button, and adding in your restriction in the restriction window by choosing the time drop in the dropdown box and choosing the first or the tenth under the where field. Press the save button.


 


If you wish to set a restriction for a long period of time press the wizard button then add in your period, times, days of the week and under where choose from first or tenth tee. Press the set button 



Min ball tab

This section allows you to set min ball restrictions for certain dates and times. Click on a date press the add button and add in your time and ball restrictions. Press save and the date will then turn to yellow so you can see that there is a min ball restriction.

 

Again you can use teh wizard button to set a long period of time if you wish.


Note tab.

This allows you to add notes to your tee sheet, choose the date press the add button and add in your from and to dates. 

Free type the notes.

The notes then appear in the day course notes window  on the tee sheet on the left-hand side 


 


Using the schedule tab

 

Here is where you can set certain booking types for certain days and times. Choose the date, press the show button, then press the wizard button and set the period, times, days and choose the booking type.

Press set and you will see the booking type colour appear at the times you have set. This also appears on the tee sheet


NOTE: it is possible to override these booking slots in the tee sheet if you have another booking type showing available.
