How to Implement Extended Security in HART PMS

HART PMS gives your property the opportunity to have extended security, in order to protect the data saved in it. Depending on the security level that you want your PMS to have, you can make all or part of the actions described below: 


1. Password Complexity


Go to ConfigurationGlobal→ At the top right part of the window you will see a Password field and a Complex Pass check box: 





Password: Key in the number of days that the user must change his/her password. In the above example the user must change his/her password after 30 days have passed. When HART PMS closes 30 days, then the user will receive the following message while logging in: 





When the user presses OK and logs in to HART PMS the only window he/she will be able to use is the one where he/she can change their password: 




There, he/she will have to key in: 


• Old Password: The old password. 


• New Password: The new password. 


• Retype New Password: Retype the new password. 



Then press Change. If the user presses the Exit button, he will be logged out of HART PMS and he will be forced to change his/her password before proceeding with his/her work inside the software. 



Complex Pass: When you check this check box you actually force HART PMS login passwords to contain: 


        • At least one capital letter 


        • At least one lower case letter 


        • At least one symbol 


        • At least one number 


        • Be more than 8 characters long 



ATTENTION: When the Complex Pass check box is checked and the user has to change his/her password, he/she cannot use any of the passwords that he/she has used in the past. The same goes for the Administrator of the system (electra) 




2. Lockout / Logon Policy: 



Go to ConfigurationGlobal→ At the top right part of the window you will see a Lockout field and a Logon Policy check box: 




• Lockout: Key in the number of minutes the computer cursor needs to be inactive, before HART PMS locks you out. In the above example HART PMS locks out the user after 40 minutes of inactivity. In order to be able to work with HART PMS again, you will have to enter your User ID and Password and logon again. 


Logon Policy: When this check box is checked the user has only three (3) attempts to logon successfully to HART PMS. After these three (3) attempts HART PMS gives the following message: 






The user then will have to wait for five (5minutes before trying to logon again. 



If he/she makes the same mistake again, after the next three (3) failed attempts the user will need to contact the Administrator of the system to help him logon. 


ATTENTION: The Administrator will have to go to ConfigurationMaintenanceUsers, uncheck the Locked check box by the user’s name and press Save




3. Read Only feature 


HART PMS gives you the opportunity to mark certain user roles as Read Only. In order to do that you must go to ConfigurationMaintenanceSecurity





At the far left part of the window, find the User Role that you want to be read only, check the Read Only check box and press Save
