By the end of this training guide you will be familiar with the two options for generating Rooming Lists for group booking
Guest List
Via the header section of a Group booking press the Guest List button:
After pressing the Run icon or CTRL+R a report is generated containing all the rooms within the group and if selected via the tick boxes includes the Rates and any outstanding balance
This report can then be printed and shared.
Grid
For a more interactive version of the rooming list, the Grid button should be pressed. Please note this option is only available via the group booking screen.
Doing so will produce a screen similar to the one below:
Room Categories are displayed down the left-hand side and if rooms are allocated then the details of the primary guest are displayed on the right-hand side. Also shown is the room name/number if currently allocated.
Where stays have been added then this information is populated on the grid via Red and Green boxes:
Red Squares: indicates that the room is allocated. Amendments to this room can not be made from this screen
Green Squares: indicates that this room is currently unallocated (has the Group Member profile). Clicking on the arrival and departure date will result in the room booking being opened where an allocation can be made and other reservation details added.
The Grid can also be used to split room allocations between guests over different nights. In the screenshot above, a Standard Room is green and available for the nights of 01/10 - 04/10 inclusive. Should one guest need to be allocated to the room for the first two nights then the green square under 01/10 should be selected followed by the green square under 02/10. Following allocation the screen will refresh to the below.
The Standard room previously on one line has been split across two lines to indicate the first two nights are allocated. Further allocation can now be made. Any changes here will be reflected on the Bookings and Stays tabs of the Group and if connected Function
Via the Print button, the screen can be exported to e.g. PDF format and shared
