How to set and report on traces

Traces are a method of communicating an instruction to a specific department for a specific date in relation to a reservation.  Whilst the example below concentrates on setting traces against a room booking, traces can also be set for restaurant reservations, spa diary bookings, functions and groups.




Setting a trace


Within the booking screen click on the Traces tab.  Here all existing traces can be viewed including those automatically created.  To add a new trace, right click in the trace area and select Add Entry.  Details of the trace should either be selected from the drop down or free typed under the Trace label; the Due Date defines when the Trace should be actioned; the Department defines which department the message is intended for





Once the above is complete press F3 or the Save icon to commit the trace.


There is no limit to the number of traces that can be added to a booking


Retrieving traces to be actioned


Via the Reception Menu click on Traces.  Once the Date Range has been set press the Search button to pull back all traces due to be actioned during the selected period.



The result can be filtered via the Filter button and printed if required.


Double clicking on the Trace will update the status from Pending to Done
