By the end of this training article you will be able to:
- Understand what each field and tab does in a rate plan
This is a walk-through guide, and as such is intended to show you what each tab does, rather than how to set up and use rate plans.
Go to Sales > Rate plans
This window displays;
- Code: displays your code for your rate plan. Every rate plan code must be unique
- Name: displays your rate plan name
- Package: displays the package relating to your rate plan
- Group: shows you the group that the rate plan is in
HART TIP: using groups allows you to filter your rate plans by groups inside the rate query |
- Stay Min: displays the minimum number of days that the rate plan is available for, if applicable
- Max: displays the maximum numbers of days that the rate plan is available for, if applicable
- Lead: display the number of days before the arrival date in that the rate plan is available for, if applicable
- Order: displays the order that you wish the rate plan to appear inside the rate query
- Segment: If selected, puts this segment as default when this rate plan is booked
- Sub segment: displays the rate plan sub segment as default when plan is booked
- Category: displays the category for the rate plan
- Type: shows who the rate plan is available for
- Available to all: if selected this means the rate plan is available to all room bookings
- Travel Agents: if selected this means the rate plan is only available for bookings that have an agent selected in the agent field that relates to this rate plan
- Corporate: If selected this means the rate plan is only available for bookings that have a company linked to this rate plan
- Contracted: if selected this means the rate plan is only available for agents or companies that have an allocation of rooms with the property
- Commissions: displays the commission for the rate plan if applicable for information purposes only. Can be seen in the commission’s report.
- Range: displays how you are managing your rate plan either as standard rates or daily rates
- Master: displays if the plan has a master rate plan. Used for derived rate plans
- Discount: If this is a derived rate plan you can see the discount % applied here or
- AMT : the amount off here
- Colour: shows you the colour of your rate plan which shows on the room rack.
- Unit: displays the unit which the rate plan belongs to if applicable
- Revenue: displays the revenue group that the rate plan belongs to if using advance rate matrix
- Charge: displays the charge of the rate plan
- Select Std: for a regular rate plan.
- Select Comp: for complimentary rate plans.
- Select House: Use for house use rate plans.
- Hybrid: Used to set a minimum level for rate plans.
- Active: shows if the rate plan is active
- Tax: tells you if the rate plan prices included are net or gross
- BAR: tells you if your rate plan is a best available rate plan. This will show in green and at the top when selecting a rate plan in a room booking
- Fixed: tells you if you want the rate plan to keep the check in rate. Useful in cases where bookings fall on season change.
- Edit button: allows you to edit your seasons
- Grid button: allows you to set prices and see a weekly grid from a chosen date if using daily rate plans
- Copy: allows you to copy an existing rate plan seasons or create a derived rate plan
- Update: allows you to update any changes that have been made to your rate plans and push them out to room bookings.
Details
Left Window
This window displays your seasons
- View all button: pressing here shows you all the days if using daily rate plans
- Changes button: pressing here shows you a log of any changes made to the rate plan
Middle top window
Displays your accommodations prices
- Day: displays the day that you wish the charge to be applicable to
- Accommodation type: displays the accommodation type the charge applies to
- Charge: shows the price
- P box: shows the number of people the price is for
- Type: displays if the price is per room or person
- Revenue centre: displays the revenue centre the accommodation element will post to
- Level column: displays the levels if appliable to this rate plan
- Add button: pressing this button will add your accommodation types in again. Useful when setting up multiple levels or dynamic day packages
- Check button: pressing this will show you if there are any inconsistencies with your rate plan level set up
Middle window
Displays your package services
- Day: the day the service is to be charged for
- Service: the service that is included in the rate plan
- Charge: the charge of the service
- %: tick if the charge is a percentage of the room charge. Leave unticked for a fixed charge
- P box: shows if the service charge is per person
- Revenue centre: displays the revenue centre for the service
- Add box: shows if the service price is to be added on top of the room price
- Modify button allows you to modify the service revenue centres if required
Your package must match your services here in terms of day and service fields.
Included allowance window
This window shows your included allowance price in the rate plan mainly used for a dinner allowance.
Bottom window
This window shows you any extras charges relating to the rate plan for example Pets, cots, children.
Description
On the left part of this window, you can see the description of your rate plan. This shows when you select your rate plan in the rate query.
Customer
Here you can see the accounts linked to the specific rate plan.
From this tab you can also see/enter Block out Dates and set your allocation if required.
Guest
- Guest: Shows you if the rate plan is linked to a specific guest
- Block out Dates: Shows you any block out dates for the rate plan
- Interest tab: Displays the interest relating to the rate plan
Channel
- Channel window: Displays and allows you to link the rate plan to specific third-party distribution systems, like channel managers and the HART web booking engine
- Excluded room Types window: Displays and where you select room types to exclude from channel managers between certain dates (bottom right part of the window)
Segment Tab
Displays and where you select you can select the rate plan’s Segment, Subsegment and Category for specific days if applicable
Restrictions Tab
Displays your any restrictions you have in place for this rate plan.
Derived Tab
Display any derived rate plans relating to this rate plan.
Promotion Tab
Under re development
Facilities Tab
Under re development
Trace tab
Allows you to set traces by rate plan. For example, if you a rate plan included a bottle of wine in the room, you could put it here so that all bookings will include this trace as default.
