Choose a Spa day package
NOTE: We recommend that you check for each treatment availability before proceeding to book a Spa day |
Log into the Spa diary and press the book button on the top right-hand side.
The Spa wizard window appears and there are a number of steps you need to do to book the spa day in.
- Choose your start and end time to show the Spa packages that are available between those times. These will display in the Select Package window. For example, you may have a twilight package that is only available between 17.00 and 21.00
- In the Group Reference field-free type a group reference, the date will automatically populate.
Once you have decided on the Spa day package free type the number of guests in the QTY field and press the options button. The treatments that are in the Spa day package will then appear in the select treatments window.
- Tick the box next to the treatments that you need to schedule and press the schedule button. The treatments schedule will appear on the right-hand side under the Schedule window.
Choosing an alternative treatment
If you have an alternative option to a treatment, you will see that both options will show and a line separates the treatments that are included in the Spa day package. In the example below you can choose either Express Manicure or Express Pedicure and only one can be ticked.
- Once you have scheduled the first guest treatments, in the Select Treatment window tick the treatments you wish to schedule for the next guest and press the schedule button again.
The example below shows when scheduling the second guest we ticked Express Pedicure as an alternative to Express Manicure in the top example. On the right-hand side, you can see that one guest is having an Express manicure and the next guest is having the Express Pedicure.
- Continue to select and schedule the treatments for each guest.
- Once you have all the guest's treatments scheduled press the Book button and the Make Booking window appears.
- Fill in the Surname and First name of the guest and either press the search button to search for an existing profile or press the new button to create a new profile. If the guest's profile already exists double click on the correct profile. The Rate will drop into the bottom window.
- Press the continue button to bring up the Make booking window again and add in the next guest's profile.
- Once all the guest's profiles have been added you will see a finish button appear instead of the continue button.
Adding a discount
If you need to add a discount to the Spa day price free type the discount in the discount box, tick the percentage box if it is a percentage, otherwise it will be an amount. Press the Gets Rates button and you will see the revised price in the yellow field. then press the continue button to move on.

Booking an included Meal
Once you have added all the guests press the finish button and the Spa Day Meal booking window appears. If you have a meal included in the package you can book this here.
Under the Meals Included window you will see the service that has been included in the Spa day. Press the Book button and the outlet, times and tables will appear. Double click on the table under the time slot that you wish to book.
The booking will then appear in the Meals booked window.
Once you close this window a Pop-up window will appear asking you if you wish to open the non-resident screen.
Accessing the non-resident screen.
This can be done in several different ways
- From the pop-up window as part of the booking process.
- Opening up a non-resident screen and using the search function, where you can search for the whole group by adding in the group reference number.
NOTE: the above two ways allow you to bring up the group non residents. Where you page donw to see the individual non residents. |
- Navigating to Reception > Non-resident, select the date of the booking, press search, and double click on the correct ID
- Direct from the treatment window by editing the treatment and clicking on the non-resident ID
- Navigate to Tools > ID finder and enter in the ID number
To add a deposit
Once in the non-resident screen navigate to the deposit tab and add in the deposit received as per your organization's procedures.
NOTE: the below screen shows a group booking as shown by the 1/2 field in the bottom right hand side. Page down will bring you to the next guest. |
