How to Create a Voucher

By the end of this training article you will be able to: 

  • Create a Voucher in Hart
  • Search for an existing Voucher via the reception menu
  • Create  complimentary Voucher
  • Create a complimentary Voucher

Creating a Voucher 


 Navigate to Financials > Vouchers and the below window appears.



Press the Usage button  the right-hand side of the screen.

The ID will auto-populate once the voucher is saved,

The expiry date of this voucher will be displayed in Expires. There are two options, either select a date from the calendar via the down arrow or stick to the pre-configured expiry date in the Voucher configuration. 


The Value will pull through according to the value set per voucher type in configuration, but this can be overwritten before the voucher is saved.  


Double click into the Guest window to open the guest wizard in order to search for an existing profile or to add a new one.


In Paid the value of the payment will be displayed. There are two ways to add a payment. Either select the payment type from the drop-down in Payment or if you are fully integrated with for example Verifone or WorldPay, use the  Credit Card button to the right-hand side for a customer not present transaction, or the Terminal functionality if the guest is present. 


The Status for all newly issued vouchers is 'Valid' by default. 


Messages and Remarks are added manually.


Once the voucher is saved (F3) the Issued On, By and Entered At will display who enter this voucher and when. 


To abandon a not yet saved transaction, either close the screen or use Reset.


HART Tip: To cancel a voucher use Modify and follow the advised steps. 


Searching for an existing Voucher in Financials > Vouchers


To search for an existing voucher open the template in Financials > Vouchers and select F6. Now enter any information you may have. For example the voucher ID and search again.


Searching for an existing Voucher in Reception > Cashier


Select the Voucher button at the top of the screen and enter the Voucher Code to find an existing voucher.


Or use the tag symbol on the very top of the toolbar to open the voucher search window.



Creating a COMPLIMENTARY Voucher


Follow the standard steps above but the overtype the Paid field to 0.00 and Save.
