The Maintenance section in hart is designed for hart users to add and record property maintenance issues.
Housekeeping > Maintenance
Inside the top left-hand side window, you have the option of Adding A Problem. To the top right side, a window shows a summary of all outstanding issues in Groups and the centre bottom window shows all outstanding maintenance issues called List.
To Add a New Problem select New, the Date is auto filled so start by selecting a maintenance issue from the drop down inside the Problem section.
If the user wanted to add a new problem to the drop-down menu, go to configuration > housekeeping > repair codes, simply right click and add entry, now save.
Next make sure to add as much information as available, such as the Room the issue is in or the Area or both, depending on how you would like to use this. The Source is useful to keep track of which department is assigning these issues. Assigned is used to assign a specific task to a specific maintenance man. The Category is best used to priory over some, for example, your categories could be danger to life, or non-business critical. Action is best used if rather than repairing something in-house an outside health and safety offer needs to be contacted. The Notes are a free type window to add as much additional information as required.
Use Save to save this maintenance issue.
The Filter is here to filter issues by days, so for example a 3 will show you all issues added during the last 3 days. 0 days will equal, show all maintenance issues.
Once the user hits OK the Maintenance Panel Report will open, this can be printed via Print.
To resolve a maintenance issue, go to the bottom window and check Resolved inside the line with your issue and hit Save.
Useful reports to use are in Reports > Housekeeping, select the Maintenance List, the date you wish to run this for and Resolved only if you also would like to include all resolved issues into this report, now run the running man at the top of your toolbar to actually run the report.
The printer will print this if wanted.
In the same section, you can also find the Maintenance Stats report. This is useful to investigate a period of time, for this use the From and To calendars before running the report and the option of filtering this down to Date Issued, Date Resolved, Area/Room, Speciality/ Issue and Category.
