How to use FiServ for Tokenization

By the end of this information, article you will be able to;

  • Create a token
  • Take a payment
  • Take payment from a token


To use tokenization in HART, you must have the correct payment gateway and interface set up. Please contact HART Support if you would like to find out more information on how you can do this.


Tokens in HART, are credit card details which have been encrypted and can be used to charge and refund without the guest being present. These are known as MOTO or customer-not-present transactions.



Room booking pre-arrival

 

Navigate to the room booking window and under the Deposit tab, press the credit card button. If asked to, choose the integrated gateway system you are using.


Choose either New Moto Transaction if registering a card (token) 

or choose Charge/ Refund a token if charging an already existing token or refunding a token.


New Moto Transaction

Ticking here takes you to a new window where you enter all the customer's information. name, address and postcode.

If only tokenizing a card - not charging it - then ensure the tokenization box is ticked and no payment is added in the payment field.

Once the customer details have been added in the new window add in the card details.


This will then tokenize the card and the token will drop into the guest profile under the enhanced section.


Charge/ Refund a token 


Click here If you wish to charge or refund a token.

Press the ? button and ensure that you pick up the correct token that you wish to charge. Add in the amount and press refund or charge depending.


Checked in room


If the booking is already checked in and you wish to take the payment,  under the billing tab and in the payment window press the credit card button and proceed as above to either take the payment via Moto or charge the token if you have a token registered.


Note: We do not recommend charging tokens unless you have the customer's permission.  Where the guests is present we advise all payments to be taken via Chip & PIN or Contactless


The same process can be followed for most bookings types. Below are details of where you can find the Credit Card Tokenization button,


  • Pre-arrival function bookings, golf days, weddings: Navigate to the function booking, under the Financial tab press the credit card button.
  • Checked in function bookings, golf days, weddings: Navigate to the function booking, under the billing tab in the payment window press the credit card button.
  • Pre-arrival spa days: Navigate to the non-resident screen under the deposit tab, and press the credit card button.
  • Checked in spa days: Navigate to the non-resident screen under the billing tab in the payment window and press the credit card button.
  • Restaurant  pre-arrival: Navigate to the facilities booking press the deposit button,  then press the credit card button  and proceed as above 
  • Membership: Still under development
